Who we are

cuppa architects ltd looks after any personal information you share with us, and decides how it's used. We only collect what we need, and we never sell it.

Regulation and insurance

Our architect is registered with the Architects Registration Board (ARB), registration number 090371J, and works to the ARB Architects Code. You can check the register at architects-register.org.uk.

We hold professional indemnity insurance, as ARB requires. Details are included with our quote, or available on request.

What we collect and why

When you get in touch or work with us, we collect details such as your name, contact details, property address, project information and correspondence. We also use publicly available information about the property, such as planning records.

We use it to respond to your enquiry, prepare a quote, deliver our services, invoice you, keep proper records and meet our professional obligations. Where we rely on our legitimate interests, such as keeping accurate records or handling a complaint or claim, you can object at any time.

To make sure nothing gets missed, calls and consultations may be transcribed so we can keep accurate notes. The audio and full transcript are deleted once our notes are made. Just let us know if you'd prefer we didn't.

With your agreement, we may photograph completed projects to show on our website, our social media and in our portfolio. We never show anything that identifies you or your property, such as names, addresses or house numbers, and we'll stop using a photo if you ask.

Who we share it with

Only those who need it to deliver your project or run the practice, such as local authorities, consultants and contractors involved in your project, our professional and IT service providers, our accountant and insurers, and our regulator if required. We'll only share with the police, courts or other authorities where the law requires it.

Some of our service providers may store or process information outside the UK. Where they do, we make sure appropriate safeguards are in place to protect it.

How long we keep it

We keep information only as long as we need it. Enquiries that don't go ahead are kept for 2 years. Project records are kept for 15 years after our services end, so we can answer any later questions. Financial records are kept for 6 years, as the law requires. After that, we delete them securely.

Your privacy rights

You can ask for a copy of the information we hold about you, ask us to correct or delete it, restrict or object to how we use it, or withdraw consent you've given. Email studio@cuppaarchitects.co.uk or simply tell us, and we'll respond within one month.

If you're unhappy with how we've handled your information, please tell us first. We'll acknowledge your complaint within 30 days and let you know the outcome. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint.

Complaints about our services

We want you to be happy with our work. If you're not, please tell us first - we have a complaints procedure, and we'll send you a copy on request.

Because we're regulated by ARB, you can also raise concerns about our conduct or competence with them.

Social media

We share project photos and news on Instagram and Facebook. Anything posted there is public, so we follow the same rules as on our website: only with your agreement, and never anything that identifies you or your property. If you ever see something of your home on our website or our social media that you'd like removed, just ask and we'll take it down. We can remove our own posts, but we can't control copies other people have shared.

If you message us through Instagram or Facebook, we'll treat it like any other enquiry. Those platforms also handle your messages under their own privacy policies.

This website

Through this website, we only collect what you choose to send us using the contact form: your name, email address, property address and message. It's delivered to our inbox by Formspree, a secure form service, and we look after it as described above.

This website doesn't use cookies, so there's no cookie banner.

Our home page shows our latest Instagram posts. These are supplied by Behold, a feed service, rather than Instagram's own embed, so Instagram can't set tracking cookies on our site. To show the pictures, your browser connects to Behold's servers, which, like any website, can see technical details such as your IP address.

Links to our Instagram and Facebook pages take you to those sites, which have their own privacy policies and cookies.

Full versions

This page is a summary. Every client receives our full terms of appointment and full privacy notice with their quote. Anyone can ask for a copy of either, or of our complaints procedure, at studio@cuppaarchitects.co.uk.
